Minutes of the Ordinary Parish Council Meeting

held at The Bluebell Centre, Hothfield,

on Monday 11 July 2011 at 7.00pm

[ DRAFT - to be formally accepted at next meeting ]

PRESENT:                                               Mr L Krause (chair), Mrs J Colby, Mrs P Sutcliffe,

MEMBERS OF THE PUBLIC:    There were 2 Members of the Public present.

1.        APOLOGIES FOR ABSENCE

An Apology for Absence has been received from Mrs E Turner (previous engagement)

and Mr P Howard (previous engagement).

 

2.       DECLARATIONS OF INTEREST

There were no Declarations of Interest. 

i)        Updating of Declarations of Interest for the Code of Conduct

                  Councillors are reminded that they should update their Declarations of Interest

                  with the Monitoring Officer if necessary.

3.      PUBLIC INTERVAL

The meeting was opened to Members of the Public from 7.06 – 7.24 for questions and comment.

 

The Mayor of Ashford, Councillor Matthew French, addressed those present about himself

and his role as Mayor.  The Parish Council much appreciated his taking the time to visit the parish.

4.      ACCEPTANCE OF MINUTES OF PREVIOUS MEETING

Minutes 99 were accepted and it was unanimously agreed that Mr Krause should sign

them as a true record of the meeting.

5.       MATTERS FOR REPORT ARISING FROM THE PREVIOUS MINUTES

A letter from Mr Peter Patten regarding the new notice board was read out.

Mr Krause will respond.

                Mr Krause will speak to Mr Stanley about a including link to the Digital TV Switchover

                Website on our website.  He will also contact Mr Grenfell Banks about putting an item

                in the newsletter regarding the switchover, in the new year. 

 

                Mr Bob Fletcher offered to give a talk advising villagers on the procedure for

                the switchover.  His offer was gratefully accepted and it was suggested that the best forum

                would be the Church Coffee Morning.  Mr Krause will liaise with Mr Fletcher and the PCC

                regarding this in the new year.

 

Email Correspondence

Mr Krause asked councillors to ensure that they read all the emails that are forwarded on to them. 

 

Arrangements for August

A meeting of the full Parish Council will not be held.

.

A Planning Committee meeting will be held if necessary.

 

Resolution:  Councillors unanimously agreed that the Clerk should prepare the cheques for payment in August and obtain the verbal agreement of 3 councillors to pay them, if we do not need to have a Planning Meeting.

 

Grass Cutting

Mrs Whittington is liaising with Community Payback regarding grass cutting around Hothfield.

 

Garden Competition

This took place on Saturday 9 July.  The gardens were judged by the Head Gardener

and Assistant Gardener of Godinton House.  We are still waiting to hear who the winners

are.

 

It was a very enjoyable day and the members of the Parish Council extended their thanks

to Viv Hunt and Ian Sturgess.

 

The Clerk was asked to write a letter of thanks to the staff of Godinton House.

 

Litter Cart and Litter Bin

Following a question from the Clerk, Councillors unanimously agreed not to insure the

litter cart and new litter bin

 

8.        FINANCE

            Resolution:  The following councillors were authorised to sign cheques on behalf of the

            Parish Council’s account:-

            Resolution:  The following councillors were authorised to sign cheques on behalf of the

         Received this month:-

         A Cheque for £334.80 from the Hothfield Village Fair Group, together with a letter

         requesting that the funds be used to support a positive whole Community activity.

 

         Resolution:  Councillors unanimously agreed that this money should be distributed

         as follows:-

 

         £167.40 given to the Village Hall Committee to help with Village Fair expenses.

 

         £167.40 retained in Parish Council’s account and earmarked for Garden Competition

         expenses for this year’s competition and competitions which we hope to hold in future.
